Operational excellence within any organization centers around a clear separation of duties and the ability to communicate expectations. In order to fulfill their duties employees need to be knowledgeable about their responsibilities. Reporting relationships are normally defined by an organization chart. Individual responsibilities are generally spelled out in the Job Description or Position Contract. However, these documents rarely define specifically what an employee is responsible for and employees are expected to use their best judgment and diligence, along with whatever on the job training their employer provides. The result is frustration. Managers are frustrated because employees are not doing what they are expected to do and employees are frustrated because their best efforts never seem to be good enough. KMx tools provide a common link between an individual's job title and all of the information defining what they are supposed to do. This information is created directly using the KMx native document format or imported as text or attachments from other applications. These documents may include company wide policies and procedures as well as detailed instructions about specific tasks. Each document can require compliance which instills accountability. Performance standards are spelled out in these documents. Many of the metrics for performance are also tracked directly within KMx using the powerful task engine. The end result is a dynamic job description that eliminates discretion in employee behavior and ensures both manager and employee know what is expected of them. When an employee notices a discrepancy between the way a document defines their task and how they actually perform it they can add comments in real time noting the changes that need to be made. Alternatively, they may check out the document to make the required revisions themselves. While the revisions are being made the currently approved document remains in place. Upon completion the revised document must be submitted for approval before it becomes the new policy. Various user levels are available to dictate the actions available for the review and approval process. Assigned employees are automatically notified when any document is revised or updated through a variety of options. If a document does not exist for a process an employee may also submit a suggestion for a new document. Upon approval the request will become a document that can be completed with content.
